Owner help

Everything an Owner needs to run Scooper Agent. Questions we did not answer here: support@scooperagent.com. Setting up your crew? Send them the team help page.

What the agent does

Your agent answers customer texts on your business texting line (Quo), day and night, using your Sweep & Go account. It handles:

  • Skip requests. “Can you skip us Friday?”
  • “Are you coming today?” It reads today’s route board and your local time. If it cannot back an answer, it asks your crew instead of guessing.
  • Rescheduling.
  • New leads. Service area and pricing questions, using the ZIP codes you set and the prices in your Sweep & Go account.
  • Payments and collections. Card links and follow-ups on overdue balances, within your rules.

Every business names its agent during setup, usually a dog name, and picks a coat for its avatar. Scoop Hero’s is Lady. Pick a name your team and customers will like. Until you name it, the app calls it by your business name, like “Westside’s agent.”

It works with Sweep & Go and Quo only, for now, with one Sweep & Go account and one Quo texting line per business. More than one location is planned, not built yet.

Approve-only

Your agent starts approve-only. Every reply to a customer is a draft. Someone on your team taps the main button before anything is sent. That button always names the one thing it does, like Send reply, Skip visit or Send pay link.

During the beta, every business stays approve-only. Letting the agent send a type of message on its own, for example skip confirmations or card links, is planned but not built yet. When it ships, you will turn it on one type at a time and can switch any type back to approve-only whenever you want. Until then there is no setting for it, and nothing goes out without a tap from your team.

Some things always stay with you, no matter what: refunds, credits, discounts, custom prices, and changes to your prices, rules or team.

The Needs-you queue

Needs you is the shared list of everything the agent wants a person for. One item per request:

  • Approval: a draft reply or action to approve.
  • Ask staff: the agent needs a fact from your crew, like “Is Marco out today?”
  • New lead: someone asking about service.

Each card shows the customer, the time they texted, what they said, the draft, and a link to the thread in Quo. Open the item, then tap the main button (for example Send reply) to send it as is, Edit to change the words first, or Don’t send to drop it (pick a reason if you like). For changes that are not a text, that button says Don’t do it. One item always means one action. If a request needs two things done, it becomes two items.

Items about money, or marked Owner decides, only show an Open button in the list. You decide them on the item screen.

At the top of Needs you, the Open, Mine and Recent tabs and the role chips narrow the list.

The Done list shows what was sent and whether it was delivered. You get a short daily digest each morning covering the day before: what got done, what is still waiting, and anything that needs a look.

The app has four tabs for owners and office staff: Needs you, Chat, Done and More. Agent status and Settings live under More.

Taking an item

Tap I’ll take it on an item to take it. Everyone else sees “Claimed by Dana,” so two people never answer the same customer. If you claim something and walk away, it is released after a while so it does not get stuck.

Inviting your team

  1. Go to Team and tap Invite.
  2. Enter their name and email, and pick a role. For a tech, enter the name exactly as it appears on your Sweep & Go routes, so route questions reach the right person. A phone number is optional for everyone (for text backup later).
  3. They get an email with a Join link. When they open it, the app walks them through installing it on their phone and turning on alerts. If you are setting up for the first time, you can choose Just me for now and invite people later.

Each person gets their own login. Do not share yours.

To remove someone, open Team, tap their name, then Remove. They lose access right away.

Roles

Role Sees Can do
Owner Everything Everything: approvals, money items, settings, business rules, team, connections, pausing
Office Customer drafts, ask-staff questions, escalations, schedule changes Take, send, edit or drop customer texts within your rules
Tech Only route and ETA questions meant for them Tap answers like “I’m out today,” “Running late,” “Can’t access a yard,” “Done for today.” Never approves texts or money

You can have more than one Owner. Change someone’s role from Team.

Alerts and quiet hours

  • Only items that need a person send a ping. Done receipts are silent.
  • Quiet hours default to 9pm to 7am in your business time zone. Items that can wait are held until morning.
  • Urgent same-day problems still come through at night: a missed visit, a complaint, an injury, a dog bite, property damage, or a safety issue.
  • If nobody picks up an urgent item, the same people get a second push 5 minutes later. If it is still waiting after 15 minutes, the Owner gets an email. Staff text alerts are not switched on yet, so email is the last step for now. Routine items never re-push or email.
  • Each person can make their own quiet hours longer (never shorter than the business window) in My alerts (under More; techs have it as a tab), and tap Send a test ping to check their phone.

On iPhone, alerts only work after the app is added to the Home Screen (iOS 16.4 or newer) and opened from that icon. Turn on alerts only appears inside the installed app, never on the Safari page. Your team’s invite shows them how, and the team help page has the steps.

Pausing

Go to More, then Agent status, tap Pause and give a reason. While paused, the agent stops answering customers. Customer texts still reach your Quo line as normal, so answer them there. Tap Resume when you are ready.

Pause when you are changing prices, on a holiday schedule you have not set up yet, or anytime something looks off.

Business rules

Set these in Settings. The agent follows them and never changes them on its own.

  • Time zone and texting hours. When the agent may text customers.
  • Skip policy. When customers can skip, any fee, and exceptions. You review it before going live.
  • Service area. The ZIP codes you serve.
  • Collections. The balance that triggers follow-ups, and the reminder steps.

There is no price setting here. When a new lead asks what it costs, the agent quotes from the pricing you set up in Sweep & Go. To change what it quotes, change your prices in Sweep & Go.

If you jump into a conversation

If you or your team reply to a customer directly in Quo, the agent stays out of that conversation for 4 hours.

If a customer texts STOP, the agent never texts them again unless someone on your team clears it.

Disconnecting

Go to Settings, Connections to disconnect Sweep & Go, Quo, your AI account, or any mirror (Telegram, Discord, email). When you disconnect Sweep & Go or Quo, the agent stops working until you reconnect. Pause first if you want a clean stop.

Your AI account

The agent thinks with your own ChatGPT account (or an OpenRouter API key; other AI keys are not supported yet). Usage counts against your plan with them. If your plan runs out, the agent holds the work and tells you. It never switches to a paid key on its own.

Deleting your data

Email support@scooperagent.com from your Owner email and ask us to delete your business. We stop your agent, shut down its server, and delete your data within 30 days. Backups expire within 30 days after that. See the Privacy Policy.

Support

  • Email: support@scooperagent.com
